Job Overview

As an Executive Coordinator, your main responsibility is to support the marketing, operational, and financial activities of the President/CEO. You will oversee projects, execute leadership's OKRs, and facilitate communication with stakeholders. Additionally, you will provide support to the President/CEO's daily workflows.

As a Chapter advocate, you'll need to be adaptable, a critical thinker, and a proactive problem-solver. You'll use your knowledge of sales and marketing, program and project management, and organizational and financial operations to manage day-to-day operations and membership priorities while building relationships with external stakeholders.

PRIMARY RESPONSIBILITIES 

Membership, Operational and Financial Administration (60%)

  • Serve as the secondary point of contact when the president is unavailable, supporting member onboarding, responding to prospect inquiries, and promoting positive member relations using the ABC Sales Process.
  • Support the President, chapter staff, and contractors in meeting ongoing financial, regulatory, and operational requirements, including managing vendor relationships, organizing events, implementing marketing priorities, and enhancing overall organizational effectiveness.
  • Collaborate with the President to schedule and coordinate meetings with the board, and key external stakeholders and prepare agendas, marketing and M&E campaigns, background research, talking points, presentations, and minutes.

Project Management (30%)

  • Manage high-priority projects in close collaboration with the President.
  • Assist in identifying and responding to funding solicitations.
  • Coordinate and support organizational priorities and workflows.
  • Create, update, and implement internal systems, technologies, policies, and procedures to ensure alignment, compliance, and effectiveness.
  • Collaborate with the President and Board of Directors to manage, and support the organization’s annual goals and long-term strategic plan.
  • Be proactive in identifying potential issues in projects, industry happenings, outgoing communications, or the president's agenda items.

External Relations and Growth (10%)

  • Build and maintain relationships with community organizations, government agencies, and other stakeholders to enhance service delivery and expand resources for members.
  • Represent the organization at meetings and events, sometimes on behalf of the President; capture key takeaways; and ensure the President is up to date on needed follow-up actions.
  • Participate in networks and coalitions focused on member services.
  • Engage in growth-minded development; participate in conferences, workshops, and training sessions to remain current on the best practices and member needs.

  • Must possess a valid Driver’s License and must be eligible to be insured under company vehicle insurance policy.
  • Travel may be required and includes up to overnight.

This job classification is subject to modifications and changes in work assignments by management. The position is exempt, which means the employee spends more than 50% of their time performing duties consistent with the job description. If job duties change and the employee is not performing exempt duties more than 50% of the time, they must inform management immediately.

Office work with occasional exposure to machinery and vehicles. Moderate noise level.
